Overview

Have you ever heard of the Vacant Property Protection market? It is an exciting and booming market and we are looking for a Facilities and Maintenance coordinator/ Facilities Coordinator to join their busy Finchley office paying £23k-£25k.

This business is the market leader in Vacant Property Protection and they work with property owners to protect their properties! Interesting right? The people who live in these properties are Guardians and this coordinator will be getting involved in the coordination of the deliveries, the warehouse, looking after the Guardians for any issues over the phone and various other duties.

Objective

The main purpose of the role is to support the Facilities and Project Manager and Maintenance Manager by managing the resources of the maintenance team, controlling the stock and warehouse and ordering of materials and products.
In addition, it is a supporting role for the Property Manager assisting with client issues.

Duties and Responsibilities

*Create weekly reports regarding maintenance tasks that have been completed and those that our outstanding
*Create daily reports and send them to Maintenance managers
*Create monthly maintenance reports for clients relating to their properties
*First point of contact and ongoing contact for Guardians raising maintenance issues
*Ensure Guardians are kept updated about progress relating to their maintenance issues
*Create work orders for contractors, setting time frames, chase for updates as necessary
*Monitor and keep the in-house Property Management system up-to-date in relation to all maintenance tasks and related tasks including those connected to – Inspections, fire and pest control
*Prioritise the order or maintenance tasks
*Send updated property names and addresses weekly to Maintenance team
*Responsible for ensuring timesheets are submitted by the Maintenance Team to Accounts and that this are completed accurately and on time by the team
*Liaise and communicate with other departments regarding their requests for assistance from the maintenance team
*Carry out and maintain stock control
*Deal with suppliers and 3rd party contractors
Work alongside the Property Manager to answer client requests
*Order maintenance stock and be the first point of contact for stock deliveries
*Produce monthly out of stock and in stock reports and send these to the Accounts Department
*Ensure all new members of Maintenance staff have trade cards, fuel cards and any other relevant work-related account cards
*Oversee and control the warehouse and its activities
*Produce monthly reports on vehicle tracking system and report any issues
*Ensure Maintenance operatives are accepting and updating their jobs and chase for updates throughout the working day
